Custom Form Automation
Function: The Custom Form automation generates a new, customized Reflective form each time a submission enters a particular stage. Think of the custom form as a form for internal use, where members of your team can fill out this secondary form with information and data regarding an external submission.
Benefit: The Custom Form automation allows you to add more and more data to your workflow. It also allows your team to sync on certain feedback points regarding submissions you receive.
Example: If you had a Reflective form where people could sign up for interviews, you may want to generate a Custom Form in the 'Interview Complete' stage. This custom form may include fields for the interviewer to provide feedback on the interview.
How does it work?
Start by selecting Custom Form from the Action Items options.
Title: After selecting 'Custom Form' from the Action Items, you can give your action item a title. By default this title is set to 'Custom Form', but you may want to give it a more specific title so you can differentiate your custom forms as you continue to build out your workflow.
Choose Completion Mode: The Custom Form Automation only has the Human Touch option available. For more information on Completion Mode, see this article: Completion Mode.
Customize Custom Form
Generate Custom Form: Build your form, adding a title and desired input fields.
Example: In the Interview workflow example, your internal custom form may look like this.
Review Action Item
In the Review stage, you will get a preview of your new custom form. The data fields will include dummy data to imitate the data types that will go into each field with a real submission. If the preview looks good, hit 'Turn on Automation' to use this automation on all future submissions. Otherwise, use the panel on the left to navigate back to the 'Set Up' or 'Customize' stage to adjust.
Add Data to Custom Form
After you've configured your custom form, you can access it through the submission card. Click on a submission card in the stage where you built a custom form. Once you've opened a submission card, the custom form should appear on the left hand panel under 'Action Items'. Click on it and you can add data and feedback in the fields.
